Cátenon, a Global Executive Search Firm is looking for an Assistant Manager - Administration to join our Office in Baner, Pune.

Key Responsibilities:
Manage employee records
Keep records of invoices and payments received. Follow up with client to ensure timely receipt of payments
Liaise with the Co-Working office team for smooth functioning
Keep record of expenses - vendor / supplier partner payments, employee out of pocket, rent etc. Ensure timely payments.
All activities under office administration - systematic documentation, storage, cleanliness etc
Manager all vendor / supplier relationships - Negotiations, delivery, quality etc
Support client empanelment documentation
Set up meeting for MD as required
Managing the internal HR Portal
Receive all incoming calls, enquiries and redirect appropriately
Onboarding new employees - all activities
Off boarding of employees - all activities
Organize office events - parties, trips etc
Coordinate with all key agencies including - Accountant, lawyer, banks etc
Interact and coordinate on certain matters with Spain office
Assist MD with matters as required

Requirements : Ready to be able to work from our Office in Baner, Pune.

Right candidate should have 3+ years of experience in office administration
Must be highly ethical

Communication - 4/5
Excel sheet - 3/5 (all basic functions)
Must speak fluent English and Hindi. Marathi fluency is plus but not necessary
Must live close to office in Baner, Pune or willing to move within a 20-25 mins commute at max
Must have the maturity to handle this position with balance and grace
Ambitious, confident, and results driven along with a positive attitude towards work
Ability to handle multiple priorities and work within deadlines
Excellent interpersonal skills.
